Allocations Management

Overview

The Allocations tab lets you manage your project allocations — predefined time limits used when logging hours in external systems like YouTrack or JIRA.

You can view your existing allocations, check their statuses, and submit new allocation requests when needed.


Who Benefits

Employees – see current allocations and request new ones when joining projects

Project Managers – track team allocations and approve requests

Finance & HR Teams – ensure proper time tracking and billing alignment


Steps to View and Request Allocations

Viewing Allocations

  1. Go to Self Service → Allocations.

  2. See the list of your allocations in a table view with:

    • Project Name — which project the allocation applies to

    • State

    • Timeframe — start and end dates

    • Hours — total allowed time

    • Status — indicated by color:

      • Confirmed — allocation approved and active

      • Unconfirmed — waiting for approval

      • Used Up — allocation fully consumed / expired


Requesting a New Allocation

  1. Click + Create to open the New Allocation Request form.

  2. Complete the form step by step:

    • Project – choose the project you need the allocation for

    • Timeframe – select start and end dates

    • Allocation Type:

      • Total Hours — sets a single limit for the entire period

      • Total per Day — sets a daily hour limit

      • Both — applies both limits simultaneously

    • Comment – briefly explain why you need the allocation

  3. Submit the request — the project manager or administrator will review and approve it.

  • Ensures billing and project budgets stay aligned

  • Makes project hour reporting seamless in external systems
