Closing Monthly Settlements

Overview

The Close Month view helps you finalize your working hours and related billing for each calendar month.

You’ll verify recorded hours, attach required documents (such as invoices), and submit the settlement for approval — all in one workflow.

Managers / Finance Teams – get verified, consistent billing data for processing

HR Teams – receive accurate leave and work time confirmations for payroll


Steps to Close the Month

  1. Go to the Close Month view

    Navigate to Self Service → Close Month to access your monthly settlements table.

  2. Review the settlements table

    You’ll see a list of your previous and current months:

    • Year & Month

    • Expected hours

    • Hours worked

    • Days off

    • Balance (over/underworked)

    • Settlement state (e.g., OPEN)

    • Invoice state (e.g., PAID)

    • Availability status (e.g., Available in 10 days if it’s too early to close)

  3. Start the settlement

    When the current month is available for closure:

    • Click the “Close Month” button next to that row.

  4. Confirm the monthly summary

    The system will present a summary including:

    • Contract details (e.g., contract type, duration, currency, billing method)

    • Working hours – total recorded hours

    • Leaves – days off approved in the selected month

  5. Sign the work confirmation

    Sign and upload the system-generated Work Confirmation document

  6. Upload your invoice

    Attach your invoice, bill, or required settlement document for the period.

  7. Set the last working day

    Specify the final day of work in the billing period — usually the last day of the month.

  8. Review & submit

    • Double-check the settlement amount matches your invoice.

    • Add a comment if needed.

    • Submit the settlement for approval by Finance or HR.
