Workflows

Workflows in the WorkLyft system are used to standardize, automate, and track multi-step business processes. A workflow consists of a set of tasks performed by one or more users, often across departments. Tasks can be triggered manually, automatically, or by external systems, and can include conditions, approvals, scripts, timers, or events.

Workflows increase process transparency, reduce errors, and allow for process audits and tracking of dependencies.


The Workflows configuration module in the WorkLyft system empowers administrators to design, control, and manage how business processes are handled within the organization. It provides full control over workflow templates, task templates, and system-level settings like task categories, priorities, and access groups.

Workflows define the sequence of tasks that need to be completed as part of a process — such as onboarding a new employee, processing an invoice, or approving a contract. Each task in a workflow can be based on predefined templates and can involve specific rules, conditions, and dependencies.

This section of the Admin Panel allows you control:

Task Templates

Define reusable task definitions that can be used in multiple workflows. Templates include default settings like assignee, priority, category, and references.

Workflow Templates

Build full process templates composed of tasks, with clearly defined activation rules, predecessors, and referenced objects. These templates are the blueprint for actual workflow instances.

Categories & Groups

Organize tasks into logical groups and control access via category and group management. Each category is linked with one or more access groups.

Priorities

Define and manage priority levels available for tasks within the system.

How It All Connects?

  • Task Templates serve as building blocks.

  • Workflow Templates define processes using task templates.

  • Settings define how users interact with tasks: who sees them, who can complete them, how they’re categorized

Who Can Access Workflow Settings?

Only users with admin-level permissions can access the Settings > Workflows section. Admins are responsible for defining the templates and structure that regular users interact with when processing workflows.
